People who sell subscriptions tend to watch a single number: how much came in by Pix today. That number is misleading. A great day can hide a shrinking base, and a weak month can simply mean renewals landed in a different week.

To know whether the business is healthy you need a handful of metrics, checked often. This post covers which ones, how to calculate them and what to do with each.

MRR: revenue that repeats

MRR (Monthly Recurring Revenue) is how much your active subscriber base generates per month, based on the plans currently in force.

A simple way to picture it:

  • A customer on a R$ 35.00 monthly plan → adds R$ 35.00 to MRR.
  • A customer on a R$ 90.00 quarterly plan → adds R$ 30.00 per month (R$ 90.00 ÷ 3).

MRR is more useful than monthly billing because it does not swing with the payment calendar. If it goes up, your base is growing. If it goes down, something is leaking, even when this week’s cash looks fine.

MRR components

It helps to split where the change comes from:

Component What it is Question to ask
New Customers who joined in the period Is the trial funnel converting?
Expansion Customers who upgraded plan or connections Am I offering upgrades?
Churn Customers who didn’t renew Why did they leave?
Reactivation Former customers who came back Am I reaching out to people who left?

Retention and churn

Retention is the share of your base that stays with you from one period to the next. Churn is the opposite: who left.

Basic monthly calculation:

  • Active customers at the start of the month: A
  • Of those, how many are still active at the end: B
  • Retention = B ÷ A
  • Churn = 1 − retention

Note that new customers are left out. That is on purpose: retention measures whether you keep who you already have, not whether you sell well.

In a subscription business, small retention gains add up over the months, because every customer who stays keeps paying without any new acquisition cost.

Trial funnel: from trial to customer

If you offer trials, the funnel is the metric that comes before new MRR:

  1. Trials created in the period.
  2. Conversions: trials that became paying customers.
  3. Conversion rate = conversions ÷ trials.

A low rate can point to trial abuse (the same person asking again and again), a confusing access message, or no follow-up when the trial ends. The post on trials with playlists that convert shows how to improve each step.

Where to find it in the panel

In Painel Blend, the Dashboard shows portfolio health, upcoming expirations, revenue for the month, the trial funnel and retention. The Financial area adds MRR, revenue by source and a 12-month chart. Sales and Statistics let you dig into the details, and the Audit log shows who did each operation, which helps when a number looks off.

Because screens read the panel’s own database, reports open quickly even with a large base.

A weekly metrics routine (15 minutes)

You don’t need to become an analyst. A short routine already changes how you decide:

  1. Open the Dashboard and note MRR and retention for the week.
  2. Check expirations for the next 7 days. That is the MRR at risk right now.
  3. Look at the trial funnel. How many trials, how many conversions.
  4. Review revenue by source. Direct customers and resellers behave differently.
  5. Pick one action for the week based on the worst number.

One action a week is enough. What matters is measuring again the following week.

What to do when each number gets worse

  • MRR falling, retention steady: the problem is at the top. Review the trial funnel and your marketing.
  • Retention falling: look at renewals. Automatic reminders and a simple payment page fix a lot of it. See automatic Pix renewals.
  • Many expired customers not renewing: set up a WhatsApp reactivation automation with a short message and a direct payment link.
  • Revenue concentrated in a few resellers: if one leaves, the impact is big. Strengthen and diversify the network.

Common mistakes when reading metrics

  • Confusing cash with MRR. A quarterly payment is not three times the customers.
  • Comparing single days. Compare weeks or months, never a Monday with a Friday.
  • Ignoring expired customers. A customer who didn’t renew and nobody contacted is avoidable churn.
  • Measuring without acting. A metric that drives no decision is just a nice number on a screen.
